WooCommerce download missing after payment? Check access
The money has landed, the order says paid, and the customer cannot get the file. For a digital product shop, that is an awkward gap to explain, particularly when somebody has bought a PDF alongside a physical item and expects the download straight away.

Do not start by resending the order email. Payment confirmation, permission to access a download, the file route itself and the email showing a link are separate parts of the journey. A resent message can faithfully repeat the same missing access problem.
First prove the customer is entitled to the file
Open the affected order and inspect the actual line item. Check that it is the downloadable product the customer believes they bought, rather than a variation, bundle component or physical-only version with a similar name. It sounds basic, but product catalogues acquire near-duplicates over time and support teams then inherit the confusion.
Next, establish the order status and the payment state. A gateway callback may have recorded payment while the order remains on hold, pending payment or another status that does not release the download under the shop’s current rules. Do not manually mark an order complete merely to make the symptom disappear. That can muddle stock, fulfilment and reporting for the physical part of the sale.
A missing WooCommerce download link after payment is usually an entitlement or configuration issue before it is an email issue. Check the purchased item, the order status, the store rule for granting access, the generated download permissions and the file location. Then test the route as the intended customer. A paid order proves a transaction occurred; it does not, by itself, prove WooCommerce created usable access to the file.
Decide when the shop should release downloads
Mixed orders expose this setting nicely. A customer buys a printed workbook and its companion PDF. The printed item needs dispatch, but there may be no commercial reason to make them wait for the PDF.
WooCommerce documents an option to grant access to downloadable products after payment while an order is Processing, rather than waiting for Completed. The right choice depends on the fulfilment rule for that product, but it should be deliberate. You can review the relevant WooCommerce downloadable product handling guidance before changing anything.
If access is intended only after a manual review or physical dispatch, say so clearly in the product copy and order communications. If instant access is intended, the order path needs to support it without someone in the office repeatedly forwarding emails.
Inspect the permission record before touching mail settings
Once you know the customer should have access, look for the download permission associated with that order and product. This is the practical dividing line. No permission record, or an unusable permission record, means the problem is upstream of the email template.
- Confirm the product is marked downloadable and has the intended file attached.
- Check the download limit and expiry settings have not unintentionally blocked the customer.
- Confirm the file URL or protected file route is still available and has not been moved during a tidy-up, migration or storage change.
- Check whether the permission is connected to the correct order item and customer email address.
- Review whether guest checkout or an account-based purchase changes where the customer is expected to retrieve the file.
A boring but common detail: somebody replaces a PDF in the media library or moves it to external storage, then assumes the product follows along automatically. It often does not. The product may retain an older path, and the customer gets a link that exists in an email but leads nowhere useful.
If permissions exist and the file route works, then move on to how WooCommerce presents access. The customer may see downloads in their account, in the order received page or in an order email depending on the setup. If the order email is absent, delayed or poorly configured, that is a neighbouring issue. A paid order still is not proof that mail delivery worked, as covered in our guide to WooCommerce order emails that are not sending.
Do not confuse account access with email delivery
Ask where the customer is actually trying to collect the download. A registered customer may need to sign in and visit their account downloads area. A guest customer may rely on the order page or delivery email. If the store has recently forced account creation, changed checkout fields or migrated users, that distinction deserves attention.
Test with a safe, controlled order using the same product combination and payment route where possible. Record the order status after payment, whether permission appears, whether the account displays the file and whether the email contains the expected route. A structured WooCommerce test order checklist is useful when several people are making changes and nobody is quite sure which bit they tested.
Retest the paid-to-download route as the customer
Do not stop at seeing a link in wp-admin. Use a customer account or controlled guest checkout, complete payment, and follow the route on an ordinary browser session. Check the file opens or downloads as intended, the customer can find it again later if that is part of the offer, and the physical item workflow has not been disturbed.
For businesses selling courses, documents, booking packs or paid resources in Dubai, the UAE, Liverpool or the wider UK, this is part of basic service delivery. The website has taken payment and needs to make good on the practical next step. If the incident has exposed wider issues with checkout, orders or product setup, WooCommerce and website repair support can help scope the fault without randomly altering a live shop.
Can a mixed physical and digital order release its file before dispatch?
Yes, if the store is configured to grant downloadable access after payment while the order is Processing. That can suit a purchase containing a physical product and an immediate-use PDF, provided the product and fulfilment rules support it. The important bit is to test the exact mixed basket, because a setting that works for a digital-only order may behave differently once shipping and manual fulfilment are involved.
